Certificates
- For academic transcript certificate applications, please follow the instructions in this webpage.
- PhD favorable progress report: these certificates have no cost, submit your online application at the Electronic general instance indicate clearly in the title field: PhD favorable progress report.
- For other certificates: these certificates have a cost (15€ + 6€ extra if you request postal delivery), the payment could be done by depositing the certificate fee directly in the account number ES74 0049 1806 99 2412053335 (Banco Santander Central Hispano). You must attach the voucher of the deposit (proof of payment) and submit your online application at the Electronic general instance, indicating in which language you need the certificate letter. Submit the application at Electronic general instance.
Temporary break application for personal or medical reasons
Documents required for a temporary break for personal reasons:
- Application form
- This application must be justified and support by a thesis supervisor report.
If you need a break for personal reasons, this will last a maximum period of one year, which may be extended for a further year.
Keep in mind that the regulation did not authorize any temporary break once you are on time extension period.
Documents required for a temporary break for medical reasons:
- Enclose the official medical report with the dates of your sick leave.

Joint supervision of doctoral thesis
Documents required:
- Joint supervision form
- A renewal of your document of commitment signed by all supervisors, tutor and PhD student. Please bring to the Secretaria the original copy with handwritten signatures or digital copy only in case all of you have digital certificate signature.
- A free-format thesis supervisor report providing the relevant scientific reasons for the joint supervision, signed by all thesis supervisors
Only for new UPF supervisors:
Scanned copy of identity document
Ask her/him to complete this form in order to collect personal and research data.
Attention! Please check Requirements to be a thesis supervisor:
To have current or recent accredited research experience with at least five recent publications.
To be PI of a research project obtained in competitive calls which is active (not compulsory for 2nd supervisor).
To be able to assure a continuity in the contractual relationship that allows the correct and complete development of the doctoral thesis

Thesis supervisor or research group change
Documents required:
- A free-format thesis supervisor report providing the reasons for the change, signed by all thesis supervisors
- Withdrawal of the thesis supervisor (signed by the current supervisor)
- Acceptance of the new thesis supervisor (signed by the new supervisor). In case of Non-UPF supervisors: identity document (DNI, NIE) and abridged (form)
- Application form
- A renewal of your document of commitment

First or second time extension to submit the doctoral thesis
1st Time extension documents required:
- Application form (signed by you and your thesis supervisor)
2nd Time extension documents required (under exceptional circumstances):
- A report of your thesis supervisor/s giving explicit support to the application, explaining the reasons for this second year extension and including a specific work plan with an estimated deposit date by which the student will deposit the thesis during the following academic year (signed by the supervisor/s).

Time extension to defend the doctoral thesis
The doctoral thesis must be defended within six months of the date of appointment of the board of the doctoral thesis. The academic committee of the doctoral programme may authorize an extension of this deadline when justified grounds for doing so arise.

- A report of your/s thesis supervisor/s (signed by the supervisor/s) explaining the reasons and informing an estimated period by which the student will defend the doctoral thesis.

Part-time regime application

Applications: submitted before August 1st and resolution: by the end of September

Confidentiality agreement or possible patents
Once they have finished writing it, and prior to depositing it, a doctoral student may inform the University that their doctoral thesis includes work in which companies have participated, is subject to a confidentiality agreement or contains information that possible patents may cover. If they do so, and declare that they are the author of the thesis, which is entirely their own work, they may request that a special procedure be applied to ensure that certain parts of the thesis are kept confidential when it is assessed and added to a digital archive.

- One full and one encrypted copy of the thesis (the latter being the version that will be published in the TDX repository). The encrypted copy, which should indicate where information has been removed or encoded, must make it possible to obtain a general idea of the research carried out. Encryption should therefore be limited to elements whose confidentiality is essential to ensure protection or the transfer of results. The student can obtain technical assistance therewith from "La Factoria" (UPF Library/CRAI).
- All documents (originals or certified copies) that prove the thesis are affected by protection or knowledge and/or technology transfer processes.
- A report endorsing the application from their thesis supervisor.

EMBL students activities
EMBL students must present during their 1st year at the UPF a validation application that serves them for the following PhD compulsory activities:
- Science in Action (1st year)
- Research Seminars (1st year)
- Scientific Publications (2nd year)
How to present your EMBL activities certificate to incorporate it into your PhD activities document:
- Submit your online application at the Electronic general instance indicate clearly in the title field: EMBL activities certificate
- Attach at your application the official EMBL certificate transcript detailing all the actvities done and satisfactory pass
