Enrolment student guide
Click on secretariavirtual.upf.edu to access the enrolment process during the period established by the University. Then take the following steps to complete your enrolment.
1. Student identification
- Identity document
Enter the number of your national identity document, alien identification document or passport without spaces, hyphens or full stops, including the final letter (if you have entered the letter and get an incorrect login message, enter the number without the letter).
- Password
If you can’t remember the password, click on Forgot your password? You will receive an email (to your UPF student address) to reset it.
Click on Enter to go to the next screen. Then go to the section Enrolment, and click on Enrolment.
2. My personal data
This screen has five sections:
- Home address
- Address during the academic year
If necessary, you can edit the details by placing the cursor over the field you want to change.
- Authorize the transfer of personal data
To give your consent, please click on the left box in the section Authorize the transfer of personal data.
Then click on Information on the protection of personal data and click on Agree.
- Date of birth
Please check that the date of birth is the same as that on your identity document.

3. Subjects for enrolment
This screen may have up to three tabs at the bottom:
- Pending (subjects not passed)
- Subjects on the curriculum
- Subjects outside the curriculum (free-elective cross-disciplinary subjects)
Only tabs that contain information will appear, and you can open them by clicking on them.
Subjects not passed will be selected by default in the section My selection. If they are optional subjects that you do not want to take, remove them by selecting the X icon.
According to the academic regulations, before you enrol for any new subjects, you must enrol in all the basic and compulsory subjects that you have failed. In each academic year you must enrol in any first-year subjects you have not passed.
The subjects of your curriculum that you have not failed may appear in two ways:
— If the subjects are not part of a group, they will appear in the Curriculum tab:
You must enrol in the majority group of the previous year, taking into account only the basic and compulsory subjects. For example:
Subject Class Group
A CO 1
B CO 2 (majority group 2)
C CO 2
To enrol, select the subjects by clicking on the symbol to the left of each one. The subjects should then appear in the section My selection. Repeat this process for all the subjects you have to enrol in.
— If the subjects are part of a group:
At the top of this screen you will find a field with the name Grouping code, with the code assigned to you. All the subjects assigned in this group will be listed in the section My selection.
Changing subjects
— Changing an ungraded subject for a new one
In the section My selection, click on the delete icon of the subject you want to cancel, and on the tab Curriculum select the new subject you want to enrol in. If it does not appear in the list of subjects, click on Add and enter the code of the new subject. Then click on Search and Add.
If the subject only has one group with places available, it will be added to the section My selection. If it has more than one group, a new window will open for you to select the group in which you want to enrol.
— Changing a failed subject for a new one
Please bear in mind that if you make this change, the new subject will bring with it the past instances of the subject you are giving up, and the penalization for a failed subject will be applied to your record.
To make this change, you must first enrol in the new subject and then click on Change. A new window will then open: select the Change subject tab and the subject you wish to give up. Then click on Accept. In My selection you can see the change you have made.
4. Payment information
Check whether you are eligible for a free or discounted tuition fee.
If you eligible for a concession and have submitted it before enrolling, it will be activated by default.
Check the forms of payment for enrolment.
Further information:
- If you are under 28, educational insurance is compulsory and the fee for it will therefore be selected by default in the section Optional fees.
- There are three ways of voluntary contributions (of 20€ each). If you want to join and make your contribution, click on one of the options:
- Contribution to UPF community grants
- Contribution to the UPF refuge fund
- Contribution to solidarity projects
5. Confirm enrolment
This is an information screen. When you have checked the information and want to accept your enrolment, click on CONFIRM at the bottom of the screen. This will record your enrolment. Otherwise, click on Back to return to the previous screen.
After confirming your enrolment change, you can consult, print, download or mail yourself the enrolment form.
6. Enrolment evaluation
When you have confirmed and printed your enrolment, click on Continue to rate the enrolment process. Your opinion will be of great help to us. When you have done this, you have completed your enrolment.
