Enrollment and grades
Once you have returned (step 4)
Enrollment modification
1. From the Secretary’s Office, we will enroll you in the credits listed in the confirmation document (you will be notified by email once your academic record has been updated).
2. If you have applied for a scholarship: once the credits have been incorporated into your record, and if you receive confirmation from the Ministry indicating that you are missing credits to reach the minimum required to be eligible for the grant (from December onwards), you must submit an appeal to the UPF Scholarships Unit through the form available on the AGAUR website (you can also send it by email to [email protected]), always within one month from the date of the scholarship resolution.
For any clarification, you can contact the Student Aid Unit.
3. If you are not a scholarship holder: it is not necessary to enroll in the mobility credits in July; the Teaching Area will extend your enrollment once you have returned.
If you have a failed subject and are going on exchange, you must check the Course Syllabus to verify whether it can be completed remotely. If not, you will need to enroll in it again the following academic year, with the corresponding surcharge.
If you finish your degree this year and only have your internship and/or mobility pending, it is necessary to keep your academic record active. Therefore, you must enroll in some elective credits.
Reception of grades from your exchange
To incorporate the grades into your record, we need the official transcript of records from your host university. You must also send the links to the Course Syllabus to the Secretary’s Office.
In some cases, the transcripts will be sent directly to the OMA or to the School of Engineering Secretary’s Office. In other cases, you will need to request that the host university’s secretary send them to us. Therefore, before returning, you should confirm how and when this will be processed with your host institution.
Transcripts sent directly by students will not be accepted, unless they include a Secure Verification Code (CSV).
Grade conversion
Starting from the 2024–2025 academic year, the conversion of grades from host universities to the UPF School of Engineering grading system will be calculated using the formula provided in the following document.
If the Course Syllabi are not received, the subjects will not be added to the student’s academic record.
