Article 1: Objective

The aim of the University Library interlibrary loan service is the exchange of documents between different libraries. This service provides users of the University Library with access to documents not contained therein, and at the same time, other centres can have access to University Library documents.

 

Article 2: Requests to other libraries

When it is the requesting service, the interlibrary loan service, sends its requests to other libraries.

2.1. Availability of the documents received

The availability of the documents received by means of the interlibrary loan service differs according to whether they are originals or reproductions of originals:

a) Original documents: these documents are loaned by other centres to the Library, and not to the user; as a consequence, they cannot be removed from the Library under any circumstances. These documents may be consulted and photocopied, where appropriate, in the Library.

b) Documents that are reproductions of originals: except for theses, these documents become the user's property. The Library may keep a copy of them if it deems them to be of interest to the University. If the document is a copy of a thesis, the user must sign a copyright declaration form.

Users must comply with the legal regulations in force concerning intellectual property rights of original documents received on loan. 

2.2. Duration of the loan

The loan period for original documents received will be determined by the centre providing them. The person in charge of the service will inform the user in each case.

2.3. Users

When the library acts as a requesting library, the users of the Library's interlibrary loan service are University students, on both state-regulated courses and UPF courses, the academic staff and administration and services staff, and other specifically authorised individuals.

 

Article 3: Loans to other libraries

When it is a lending service, the interlibrary loan service receives requests for loans from other libraries, and provides the documents requested providing that they comply with the regulations herein.

3.1. Duration of the loan 

The loan period for documents loaned to other centres is 45 calendar days from the outgoing date, and they must be returned within this period. 

3.2. Special documents

Special documents will only be provided in reproduction format as a photocopy, microfilm or microfiche, whenever this is possible, and the originals will not be loaned under any circumstances. The following documents are considered special: 

a) Reference works (encyclopaedias, dictionaries, catalogues, bibliographies and similar).

b) Serial publications (magazines, series, etc.).

c) Very old, rare and valuable documents.

d) Modern documents that are now out of print which would be difficult to replace. 

e) Documents consulted very frequently, of which the University Library has only one copy. If several copies exist, one or more may be excluded from the loan system to ensure that they are available for consultation in the reading room.

f) Loose pages.

g) Unpublished theses and dissertations, except when they have been duplicated and prior permission from the author has been obtained.

h) Atlases.

i) Non-book material (slides, films, drawings, prints, etc.).

j) Other documents which in the opinion of the head of the Library should be specially preserved.

3.3. Users

All libraries applying to do so may become users of the University Library interlibrary loan service, when the University Library is the lending library, subject to prior authorisation from the head of the Library.

 

Article 4: Rates

4.1. Use of the interlibrary loan service is subject to payment of the fees established by the regulations, which will at least cover the cost of the service.

 

Article 5: General provisions

5.1. Failure to return works loaned may lead to the suspension of user status, as well as the appropriate administrative and legal measures, as stipulated by the academic affairs regulations and the legislation in force. 

5.2. The head of the Library is responsible for ensuring compliance with the Regulations and for taking the appropriate steps for the correct running of the service
