Continuance regulations

Article 1. Exam sittings

1.1 Number of exam sittings per subject and academic year

Students have two exam sittings for each subject in the same academic year. The first sitting is held at the end of the term the subject was followed and the second sitting is held in September.

1.2 Total number of exam sittings per subject

Pursuant to the provisions set forth in this regulation, students who have not lost their right to continue their studies shall be entitled to four exam sittings per subject.

1.3 Request for an extraordinary exam sitting

Students who are required to drop out of their studies because they have used all four exam sittings can request a fifth extraordinary exam sitting. To do so, they must submit an application for this purpose to the rector, enclosing supporting documents laying out the grounds on which their application is based within fifteen days of being informed about their final assessment.

At the request of the Board of Trustees, it is incumbent on the rector to issue a resolution regarding applications; wherein, if the resolution is favourable, the terms under which the student's registration is authorised may be set out.

1.4 Assessment tribunal

As of the fifteenth day into the term and until fifteen days before the exam is to be taken, students can apply to the Academic Administration and Scheduling Service for the assessment of their fourth and, if applicable, fifth sitting to be conducted by a tribunal.

It is incumbent on the dean or the director of the respective centre or study programme to appoint a tribunal. The assessment system determined by the tribunal must correspond to the one generally established for the subject in question.

1.5 Cancellation of sittings

In order for absence from an exam to not use up a sitting, students must give reliable notice to the dean or the director of their area of study no later than the last teaching day of the respective term, according to the academic calendar approved for the year.

In this regard, the university will publish the deadlines for cancelling the sittings corresponding to the various terms, along with the deadlines for the September sitting, at the start of each academic year.

Moreover, a standard procedure can be followed in order to apply for an exam sitting to be cancelled during the seven days subsequent to taking that exam, provided that absence is due to unforeseeable circumstances. The application shall be prepared by means of a letter stating the grounds, which should be addressed to the person in charge of the Academic Programming and Management Service. Attached to the letter should be supporting documents attesting to the grounds that prevented the student from taking the exam.

In this latter case, the person in charge at the Academic Programming and Management Service will issue a resolution within ten days of receiving the application. A claim may be lodged to the dean or director against this resolution within five days of the day following the date on which notification of the resolution was served.

Article 2. Continuance of studies and progression

2.1 Common provisions

For the purposes of this article, when a specific number of credits relating to the studies needs to be calculated and said calculation gives a result that leads to a number with a decimal point, the whole number will be taken into consideration without the decimal fraction.

When a syllabus is organised into cycles, the study volume pertaining to the various academic years is calculated by dividing the study load for the respective cycle by the number of years into which it is organised.

At the request of the Board of Trustees, which will assess the circumstances put forward by students, it will be incumbent on the rector to adopt a resolution regarding applications associated with the continuance or progression of study system.

2.2 Specific system for first year students

In order to continue with their studies, first year students must successfully complete 50% of the credits comprising first year studies during said year.

2.3 Progression of studies

In order to be admitted to second year, students must have successfully completed at least 66% of the credits relating to core, compulsory and optional subjects from the first year.

In order to be admitted to the third year or higher, students must have successfully completed at least 66% of the credits relating to core, compulsory and optional subjects from the previous year and have successfully completed all credits relating to the two years prior to that.

2.4 Exceptional calculations for certain credits

Following a report from the dean or the director of the respective centre or area of study, under exceptional circumstances permission may be granted for free elective credits completed as part of an exchange programme to be calculated for percentage purposes in order to calculate progression of studies.

Article 3. Cancellation of enrolment

To cancel enrolment, applications must be submitted to the person in charge at the Academic Programming and Management Service before 30 November and no supporting documents are required.

The granting of an enrolment cancellation shall be tantamount to the student not having enrolled as far as continuance is concerned.

Article 4. Transfer of an academic transcript issued by another university

The criteria set out herein shall apply to students wishing to continue a programme of study at Pompeu Fabra University which they had embarked on at another university.

Article 5. Appeals

Resolutions issued by the rector exhaust administrative proceedings. Unless a specific system for claims has been regulated herein, resolutions adopted by other bodies which do not exhaust administrative proceedings may be subject to a regular appeal. Said appeal must be lodged to the rector, who will issue a resolution following a proposal from the Board of Trustees.

Final provision. Entry into force

This regulation has been applicable as of the 1998-1999 academic year. Nonetheless, the previous regulations will be applicable for students who embarked on their programmes of study prior to this time whenever they are more favourable.
